How lead stages work

Lead stages are how Scaffold tracks where every potential customer is in your sales process. Understanding how they work is the foundation of using Scaffold effectively.

Every lead in Scaffold lives in exactly one stage at a time. Stages move left to right — from first contact to closed (Won or Lost). Your pipeline view shows all leads grouped by stage so you can see your entire business at a glance.

Default stages and what they mean:

  • New — Just added. No contact made yet.
  • Contacted — You've reached out at least once.
  • Appointment Set — A scheduled visit or call is confirmed.
  • Estimate Sent — A proposal has been delivered to the homeowner.
  • Follow-Up — Waiting on a decision. Active follow-up in progress.
  • Won — Job is sold. Moves to your Jobs board.
  • Lost — Did not close. Reason should be logged in notes.

To move a lead to a new stage, open the lead and click the stage name at the top. Select the new stage from the dropdown.

You can also drag and drop leads between stages in the Kanban pipeline view.

When a lead reaches Won, Scaffold automatically creates a Job record so you can track the work through to completion without re-entering any information.

You can customize stage names and add your own stages in Settings → Pipeline Stages.
